LIFTPASS Privacy Policy

1. Introduction

Liftpass (ABN:90 145 152 715) is committed to protecting your privacy. This Privacy Policy outlines how we manage personal and sensitive information in compliance with the Australian Privacy Principles (APPs) as set out in the Privacy Act 1988 (Cth), and the privacy laws applicable in Victoria, including the Privacy and Data Protection Act 2014 (Vic) and the Health Records Act 2001 (Vic).

This policy applies to all personal information we collect and handle, including from job seekers, clients, referees, and our own employees.

2. What is Personal Information?

Personal information is any information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether the information or opinion is true or not, and whether the information or opinion is recorded in a material form or not.

Sensitive information, a subset of personal information, includes information about a person's racial or ethnic origin, political opinions, religious beliefs, sexual orientation, criminal record, or health information. We only collect sensitive information with your consent or as required or authorised by law.

3. What Information We Collect

We collect personal information that is necessary for us to provide our recruitment services. The types of information we may collect include, but are not limited to:

  • Contact and identifying details: Name, address, email address, and phone number.
  • Employment and professional information: Your resume/CV, employment history, qualifications, skills, and professional memberships.
  • Identity and right to work information: Proof of identity (e.g., driver's license, passport) and proof of right to work in Australia.
  • Referee details: The names and contact details of individuals you nominate as referees.
  • Sensitive information (with your consent):
    • Health information, including any disability or medical conditions, to assist with workplace adjustments or to assess your ability to perform a job.
    • Criminal history checks (where required for a specific role and with your consent).
    • Other sensitive information relevant to a specific role, where you have provided your express consent.
  • Other information: Information from interviews, notes on your suitability for roles, and any other information you provide to us voluntarily.

4. How We Collect Your Personal Information

We collect personal information directly from you wherever it is reasonable and practicable to do so. This may occur when you:

  • Submit your resume or application through our website, job boards, or email.
  • Provide information during a phone call, in-person meeting, or interview.
  • Engage with us on social media platforms.
  • Complete an online form or survey.

We may also collect your personal information from third parties, including:

  • Your nominated referees.
  • Organisations that conduct background or criminal checks, with your consent.
  • Publicly available sources such as LinkedIn and professional networking sites.
  • Clients who have engaged us to find a candidate.

5. How We Use and Disclose Your Personal Information

We collect, hold, use, and disclose your personal information for the primary purpose of providing our recruitment services. This includes:

  • Assessing your suitability for current or future job vacancies.
  • Contacting you about relevant job opportunities.
  • Sharing your information with our clients for consideration for a role, but only with your consent.
  • Contacting your nominated referees to verify your information.
  • Conducting background and criminal history checks, where required and with your consent.
  • Providing information to third-party service providers who assist us in our business operations (e.g., IT support, cloud storage providers).
  • Maintaining our records and contact lists.
  • Complying with our legal obligations, including record-keeping and reporting requirements.

We will not use or disclose your personal information for a purpose other than that for which it was collected, unless you have consented, or the use or disclosure is permitted or required by law.

6. Storage and Security of Your Personal Information

We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification, or disclosure. We use a combination of physical, electronic, and administrative security measures, including:

You should first direct your complaint in writing to our Privacy Officer. We will acknowledge your complaint within a reasonable time and seek to resolve it in a fair and timely manner.

If you are not satisfied with our response, you may refer your complaint to the Office of the Australian Information Commissioner (OAIC) or the Office of the Victorian Information Commissioner (OVIC).
